Wunderlist is a cross-platform, desktop and mobile to-do list manager with apps for iOS and Android, Windows, OS X, and Linux (although their Linux app is woefully out of date.). There are only 2 desktop apps in this list, both Microsoft products, and both very useful as standalone personal information managers (PIMs). Unfortunately, as proprietary applications, they sometimes don't play as well with other applications.

  • Microsoft Outlook is the king of desktop calendar, task management, contact lists, and email software. All those features seamlessly integrate with each other; you can flag an email message as a task (with a follow-up date), for example, and view tasks on your calendar. For integration with other apps, however, such as Google Calendar, you'll need to rely on 3rd-party syncing tools, and those might not be available. Outlook tasks only sync well with Windows-based mobile phones, so taking your to-do list with you can be tricky if you use a different mobile platform.
  • Microsoft OneNote is an organizational tool with many list management features built-in, like the ability to insert checkboxes into tabbed pages and integrate them with Outlook's tasks list. OneNote syncs with Office Web Apps, but only on a very basic level.

Online To-Do List Apps

There are many dedicated to-do list apps online, all very capable of maintaining your tasks lists. The problem is they don't interact with each other, as there isn't a universal 'to-do' item format (yet), in which you can easily export and import tasks or sync them with other programs. Still, the online, cloud-based to-do list apps win for overall accessibility -- as long as you have an Internet connection, you have access to your list of things-to-do.

  • Remember the Milk (or RTM) is one of the most popular Web-based to-do list managers, and for good reason: The interface is intuitive, it works with multiple emails, SMS, and IM services, and has a host of other features like task reminders, saving task searches, tagging tasks, prioritizing and estimating task time, and more. It even has apps for mobile devices and other online apps like Google Calendar. The smartphone app is free, however, you'll need to upgrade to a Pro account for advanced features like Outlook syncing.
  • ToodleDo is similar to RTM. Though the interface is a little more cluttered, ToodleDo offers more functionality and integration that other online to-do list services, including setting project/task goals, OpenID integration, and exporting/importing from CSV and Excel. Free 3rd party syncing apps like Got 2 Do on Android make this a more Android-friendly to-do list solution.
  • Producteev - This online task management tool implores you to get your to-dos out of your email inbox. It is a robust online app that lets you add tasks via email, IM, Google apps, and iPhone apps, and the tasks can be color-coded, flagged, prioritized and otherwise finely managed. A Mac desktop app is also available.

Mobile To-Do List Apps

If your mobile phone is your task organizer of choice, you have a lot of list making apps to choose from. Besides task or to-do list apps, there are apps for creating shopping, wedding lists, and more. If you don't want to be restricted to accessing your list only on your smartphone, your best bet is to use one of the online apps above with a mobile app or their mobile website. The mobile apps below, however, excel at helping you track your tasks on your smartphone, specifically.

  • 2Do - This to-do app for iOS and Android has one of the most elegant user interfaces and an assortment of features, including colored tabs, geo-location task sorting, projects, and checklists, drag and drop task management, multiple calendars, syncing with MobileMe, ToodleDo, iCal, and Outlook, and more.
  • Got 2 Do - If you're an Android smartphone owner and a ToodleDo online task manager user, then the Got To Do app is ideal for you since it syncs with ToodleDo. But most task management solutions keep these two things separate. Sure, you can see your due dates in your to-do list app, but wouldn’t it be nicer to see them on your calendar, where all of your events are listed?

Why Google Calendar?

First, because it’s extremely popular. Almost everyone already has a personal or professional Gmail account, and that means they have Google Calendar, too.

And last but not least, Google Calendar works with both IFTTT and Zapier, which means you can make it work with almost any other app.

The Easiest Option: Google Tasks

It is just as easy to organize your to-dos in your Gmail inbox.Read More is tightly integrated with Google Calendar. It’s not an advanced task management system, and it doesn’t offer a whole lot of features. But if you just need a place to jot down what you need to do and you want to see due dates in your calendar, it’ll do the job.

To access Tasks, go to calendar.google.com and click Tasks under My Calendars in the left sidebar. If you don’t see the link for Tasks, click the down arrow next to Reminders and select Switch to Tasks.

You’ll now see your task list displayed to the right of the calendar, as well as reminders on the days you set your tasks to be due.

You can also open Tasks in Gmail by clicking the dropdown menu in the top-left (it says “Mail” when you’re looking at your inbox). Tasks shows up much like an instant message.

And if you want to see Tasks in full size, go to mail.google.com/tasks/canvas. You won’t get any more features, but you do get a full tab to work with.

In any view, click the right-facing arrow next to a task to add a due date. You can also add notes or assign it to a specific list. Once you’ve assigned a due date, you’ll see that task displayed on Google Calendar. It’s as simple as that.

I’m currently using Remember the Milk, for example, and I can sync it just by adding the Google Calendar gadget:

Wunderlist is similarly easy. Just open the app and head to Preferences > Account. From there, you can click Calendar Feed: Connect. It might open another calendar app, but you can copy and paste the calendar feed URL into Google Calendar to sync it up.

Most other task management apps have some sort of calendar integration as well. Trello has its own calendar view. Evernote can sync with calendar and task-list apps.

For almost any task management system, there’s a good way to sync it with Google Calendar built right in. Just consult the app’s documentation to find out how to sync it up.

Going the Custom Way: Using an Automation Service

If your system isn’t currently amenable to syncing with Google Calendar, you do have another option. Zapier and IFTTT can connect a huge number of apps together, and many of them allow you to sync up Google Calendar. How Do You Stay in Sync?

There are plenty of ways to sync your to-do list with Google Calendar. The degree to which you want to sync it and how many details you’d like to share between the two, however, depends largely on your own personal task management system.

If you need a lot of details, syncing a powerful app like Omnifocus (a great GTD app) or Producteev might be the way to go. Like to keep things simple? Google Tasks or Wunderlist might be more your style. Beyond to-do lists, you can also sync Google Calendar with other calendar services. For example, you can use a third-party app to sync Google Calendar with Microsoft Outlook.

  3. I really like Business Calendar 2. It's super customizable and has Google task sync built in. It also let's you have calendar events and tasks in the widgets. It's not free if you want full customization options, but it's worth it in my opinion. BC2 is an app I can't live without.

  4. I personally really like to use Todoist. They have recently added a way to have a two-way sync with Gcal, so if you modify Todoist tasks in the calendar, they sync back to Todoist. You can also add tasks in Gcal and they will show up in Todoist.
